The problem

White-out
does not help you.

  • What happens

A wrong entry gets scribbled out.

  • What you worry about

Will the inspector trust this page?

  • What you believe

A true record shows the mistake and the fix.

See it work

The demo has records to browse and one you can undo.

What a record holds

Saved with the time
and who did it.

Each entry is saved as in range or out of range, judged against its rule.

  • A late log is saved at its real time. It is never backdated.
  • A fix is saved the same way, with its own time and name.

See the daily checks

That is where most records begin.

When someone taps the wrong thing

Undo for ten seconds.
After that: Not done after all.

You never delete a record. After the undo window, you mark it, and the original stays. Who may correct: the person who made it, the same day; a manager, within the retention window; other staff, never.

  1. Undo in the first 10 seconds

Right after you tap something done, you can tap Undo. You have 10 seconds.

  2. After that, mark it

Tap Not done after all and pick a reason. The original row stays, with a line through it.

  3. A correction line is added

It shows who, when and why. The check is due again.

  4. The binder shows both

The inspection binder prints the struck-through row and the correction, with who, when and why.

You can undo a wrong tap in the first 10 seconds, and correct it after.

When a number looks too neat

A question,
not an accusation.

Real readings wobble a little. So if the same reading shows five days running, or five readings land within three minutes, managers see A question, not an accusation.

  • It is a nudge to look. It is not a mark against anyone, and it is not a score.

See the Today screen

Managers see it on Today.

Behind the scenes

Every save is
written down, too.

The app adds an entry for each write: who, what and when. Phone numbers and PINs are left out.

  • You can read corrections in the inspection binder, struck through, with who, when and why.
  • Managers can tap Download as a spreadsheet for team logs and activity.
  • Owners and managers can open the trail: See the audit trail on the Prove tab. It lists saves, corrections, binder downloads, role changes, sign-ins and setup changes, newest first. You can filter to Sign-ins or Setup changes.
  • It is read-only. You cannot edit it or delete from it. A corrected save stays, struck through.

See the binder

Corrections show there, struck through.

How long

The rule is
90 days.

Keep logs and checklists 90 days. Pest and commissary logs, a year. The app does not delete anything on day 91. The 90 days only decide who may still fix a record.

Ready for records you can stand behind?

Write it down. Fix it.
Keep it true.

Start with one check. Your first record is one tap away.

Questions

Before you
start.

Can I delete a wrong entry?

No. For 10 seconds you can undo it. After that you mark it "Not done after all" with a reason, and the original stays.

Who can correct a record?

The person who made it, the same day. A manager, within the retention window. Other staff, never.

Does the inspector see the mistake?

The inspection binder shows corrections struck through, with who, when and why, so nothing is hidden.

Can I see a log of everything that was changed?

Yes, if you are an owner, admin or manager. Open the audit trail from the Prove tab. It lists saves, corrections, binder downloads, role changes, sign-ins and setup changes, newest first. You can filter to Sign-ins or Setup changes. It does not list sign-ins or setup changes, and it never shows health answers.

Why does my manager see a question about my numbers?

If the same reading repeats five days in a row, or five readings are entered within three minutes, the app asks the manager to look. It reads "A question, not an accusation."

How long are records kept?

The rule is 90 days for logs and checklists. Pest and commissary logs are 365.
